Job Description

Involves managing or performing administrative services or managing the full general operations of an academic or non-academic organization. Administrative services include activities in finance and human resources and may also include IT, facilities, or student services. General management activities include long and short range strategic planning in determining the mission and directing all activities of multi-disciplinary departments through subordinate management of staff.

 

The Executive Analyst is responsible for providing high-level executive, project coordination, and operational support to a senior faculty member, Executive Vice Chair of Adult Anesthesia and Chief of Anesthesia at ZSFGH. The Executive Analyst is expected to act autonomously to manage complex executive schedules, prepare briefing documents, coordinate stakeholder communications, and facilitate problem-solving for administrative and operational issues, including preparing travel itineraries, drafting correspondences, coordinating sensitive communications, and serve as a liaison between the executive’s office and both internal and external parties, which frequently involves navigating urgent competing demands and resolving conflicts. The Executive Analyst exercises independent judgment to prioritize urgent matters, monitor long-range activities, and ensure timely responses to requests. The Executive Analyst will coordinate the full lifecycle of projects, including organizing timelines, milestones, and deliverables, identifying risks, maintaining documentation repositories, and collaborating with leadership to monitor and communicate progress toward goals. The Executive Analyst facilitates stakeholder engagement, proactively addresses challenges, and ensures the successful implementation of initiatives aligned with organizational priorities. The Executive Analyst will provide administrative and logistical support for office operations, assist with emergency planning, support community-building initiatives, and ensure a high level of client service for service requests. The Executive Analyst participates in process improvement efforts, creates and maintains Standard Operating Procedures (SOPs), and provides backup support for various administrative roles.

 

The ideal candidate will be client service-minded, organized, professional, and work as a reliable and flexible member of a team handling multiple responsibilities in an environment of shifting priorities. In addition, the successful candidate will demonstrate autonomy and the initiative to learn and understand policy, systems, processes, and culture. This role will work on projects that are highly sensitive or complex in nature, requiring the individual to work with a high level of independence, initiative, organization, and flexibility. This role requires the ability to juggle numerous conflicting priorities and maintain composure in the face of frequent interruptions and shifting deadlines. This role will also interact with a wide range of audiences; therefore, diplomacy, professionalism, and tact, as well as excellent verbal and written communication skills are essential. The individual must demonstrate excellent judgment in selecting methods and techniques for obtaining solutions. The Executive Analyst will be expected to learn and understand the institutions’ policies (UCSF, UCSF Health, SF DPH, and other foundations, organizations, and institutions) to resolve issues and implement Division/Department policies.

Qualifications
Required Qualifications : Bachelor’s degree in related area and/or equivalent experience/training Minimum two years of experience providing executive-level support to faculty Demonstrated project coordination experience/skills Demonstrated expertise in MS Office applications and other commonly used software applications (e.g., DocuSign, Adobe, Qualtrics, Zoom). Ability to learn to utilize other programs as needed. Demonstrated expertise in project management software (Asana, Microsoft Project, etc.) Strong communication and interpersonal skills to communicate effectively with all levels of staff and faculty verbally and in writing Demonstrated experience working independently with minimal supervision, using initiative, sound judgement, and resourcefulness in performing key responsibilities Ability to handle sensitive materials and information with confidentiality and discretion Ability to work on multiple projects simultaneously and effectively prioritize tasks with competing deadlines Ability to meet deadlines in a timely and accurate manner with excellent attention to detail Excellent customer service and organizational skills Demonstrated excellent attendance and reliability Preferred Qualifications : Knowledge of UCSF policies and procedures Knowledge of UC Financial systems such as MyReports, MyExpense and BearBuy Experience working in an academic medical setting and understanding best business practices
