Job Description

Job Summary:

Manages the operations of the Special Procedures and Abortion (SPA) Clinic for the SFGH Division of the UCSF Department of Obstetrics, Gynecology, and Reproductive Sciences, including fiscal, human resources, and practice management operations. The SPA Counseling & Administrative Manager serves as the clinic’s practice and operations manager, overseeing and providing trauma-informed, patient-centered abortion and gynecology care within San Francisco General Hospital.  The clinic manager leads and supports the counselors, nurses, physicians, eligibility workers, and medicine and nursing learners in their quest to deliver the gold standard of non-judgmental, compassionate abortion and other reproductive care in a supportive, destigmatizing, and positive setting.  This individual will manage day-to-day clinic operations, including staff assignments, clinic flow, patient cycle times, Epic optimization, supplies and equipment, purchasing, compliance, and security issues.  The clinic manager is the liaison to Biomedical Engineering, Environmental Services (EVS), Facilities, Forms Committee, Health Information Management (HIM), Information Technology/Information Systems (IT/IS), Pathology, Point-of-Care Testing, Privacy Office, Regulatory Department, Risk Management, Sterile Processing, and other hospital departments and works to resolve both immediate and long-term problems.

The Counseling & Administrative Manager directly supervises a team of six Social Work Associates (5.4 FTE), who provide scheduling, abortion counseling, and patient support during abortions using a framework grounded in active listening, emotion skills, and patient empowerment.  The manager trains and supervises the team’s work in supporting the physicians and nurses during the procedure, performing clinic set-up and break-down, decontamination, and high-level disinfection.  The manager is responsible for hiring, onboarding, performance management, professional development, and employee relations for these individuals. The manager works with challenging cases, including those that require mandatory reporting, procurement of forensic specimens, coordination with psychiatry, and serving patients in custody. The manager supports the front desk team with complex insurance and authorization issues and is the liaison to abortion funds, including their financial and logistical support functions. The manager prepares staff and clinic for regulatory visits, represents the clinic during those visits, and is responsible for plans of correction.

The Counseling & Administrative Manager serves as the clinic’s primary liaison to the San Francisco Department of Public Health nurse leadership and staff and to other SFDPH departments, resolving issues across UCSF and SFDPH lines.  The manager reports to the Senior Director of Finance and Administration for UCSF Ob-Gyn’s SFGH Division, with a dotted line to the SPA Clinic’s Medical Director.
